About the Role

We're looking for a confident, highly organised, and people-focused Administration Manager to join our team. This is a varied and fast-paced role where you'll be at the heart of the project, building strong relationships, supporting colleagues at all levels, and ensuring the smooth day-to-day operation of the office.

You'll be a key point of contact for both internal and external stakeholders, taking ownership of a wide range of administrative activities and helping to create a positive, collaborative, and welcoming working environment. This is an excellent opportunity for someone who enjoys working with people, improving processes, and making a real impact across a busy project team.

Key Responsibilities
  • Act as the first point of contact for colleague queries, including mobility-related enquiries.
  • Build and maintain strong relationships with stakeholders at all levels, both internally and externally.
  • Provide comprehensive administration support across project functions.
  • Coordinate the ordering and distribution of ID passes, PPE, stationery, and other office resources.
  • Maintain accurate documentation, records, filing systems, and project information.
  • Arrange training courses and events, maintaining training records, cards, and competency matrices.
  • Support onboarding activities and help new starters settle into the team.
  • Coordinate social events, engagement activities, and office initiatives that contribute to a positive team culture.
  • Prepare presentations, reports, correspondence, and business documentation as required.
  • Organise meetings, manage diaries where required, take minutes, and distribute key actions.
  • Support effective communication across the project and wider business.
  • Identify opportunities to improve administrative processes and support continuous improvement initiatives.
  • Help create and maintain a positive, professional, and upbeat office environment.
What We're Looking For
  • Previous experience in an Administration Manager, Office Manager, Senior Administrator, or similar role.
  • Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
  • Excellent communication and stakeholder management skills, with confidence engaging with people at all levels.
  • A proactive and solutions-focused approach with the ability to work independently and take ownership.
  • Strong attention to detail and a commitment to maintaining accurate records and documentation.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience using digital platforms and document management systems; knowledge of Power BI, PageTiger, Asite, Aconex, SharePoint, or similar systems would be advantageous.
  • Previous experience within a construction, engineering, infrastructure, or project environment is desirable but not essential.

Don't match all the criteria? We are open and always happy to hear from people with transferable skill sets and a commitment to learning.
